How to create an invoice in under 2 minutes

Fill in your business details, add your client's information, list what you're billing for, and save the invoice as a PDF. No login is required at any step. Here’s the step-by-step guide:

  1. 01

    Add your business details

Enter your business name, email, and business address. Upload your business logo if you have one. This part appears at the top of the invoice.

  2. 02

    Add your client's details

Client name, email, and billing address go in the "Bill to" section.

  3. 03

Set your invoice number and dates

The generator defaults to a standard invoice number format, plus issue and due dates you can edit.

  4. 04

    Select your currency

USD is selected by default. If your client is billed in another currency, switch it using the dropdown. The tool supports SGD, EUR, GBP, AUD, HKD, INR, and IDR alongside USD.

  5. 05

    List your line items

Add a description, quantity, and price for each item or service. You can also add multiple line items as per your invoiceable services or products.

  6. 06

Apply discount and tax, if needed

Enter a discount percentage and sales tax rate. The total updates live so you can see exactly what your client owes. You can also put optional notes for the client regarding a particular invoice (e.g., payment due within 14 days. Bank transfer details on request). The tool uses the percentage you provide and does not determine your tax obligation.

  7. 07

    Choose a style and download

You can also pick a style like Simple or Modern, preview the invoice, and save it as a PDF.

10 key details to include on a professional invoice

An invoice is a formal request for payment that lists what was sold, how much it costs, and when payment is due. It's different from a receipt, which confirms a payment that's already been made.

ElementWhy it matters
A clear headerLabel it "Invoice" up top so it's never mistaken for a quote or a receipt
Invoice numberKeeps your records searchable and prevents duplicate billing
Your business detailsBusiness name, address, and contact information. Include additional tax or registration details if they apply to your business or transaction.
Client detailsClient/customer name, billing address and useful contact information.
Issue dateMarks when the invoice was sent and starts the payment clock
Due dateSets a clear deadline — vague terms like "net" without a date invite late payment
Itemized descriptionLine-by-line breakdown of what's being billed, with quantity or hours for each
Cost per item or hourThe rate for each line per unit, per hour, or per project
Subtotal, Sales Tax, discounts and adjustmentsShows your client exactly how the total was calculated
Total due and payment termsUse the notes/payment-terms field for payment instructions or other agreed terms.

Do you need to charge sales tax on an invoice

US sales tax is state and local rather than one nationwide rate. Whether you need to collect it depends on where you have sales tax nexus, what you're selling, where the transaction is sourced, and the relevant state and local rules.

Delaware, Montana, New Hampshire, and Oregon don't impose a general statewide sales tax. Alaska has no statewide sales tax, but some local jurisdictions there do impose one.

Taxability also varies by product or service. Some states tax certain services or digital products, while others don't.

If sales tax applies, enter the applicable rate into the generator. The tool calculates the amount you enter. It doesn't determine whether your transaction is taxable or identify the correct rate.

Invoice vs. receipt vs. bill: what's the difference

These three terms get used interchangeably, but they mark different points in a transaction.

DocumentWhen it's usedPurpose
InvoiceBefore paymentRequests payment and sets terms
BillBefore or at time of paymentCommonly implies an amount due for payment, often used interchangeably with invoice in everyday business use
ReceiptAfter paymentConfirms payment was received

Free vs. paid invoice tools: do you need to pay

For businesses that only need to create occasional professional PDF invoices, a free generator may be enough.

Paid invoicing software becomes more useful when you need recurring invoices, payment collection, automated reminders, customer records, accounting integration, or invoice-status tracking.

Net 15, Net 30, or due on receipt: which should you use

  • Net 15 means payment is due 15 days after the invoice date
  • Net 30 means payment is due 30 days after the invoice date
  • “Due on receipt” asks for payment immediately

Choose your terms based on your agreement with the client, your cash-flow needs, and the client's own AP process. Whatever term you use, include an exact due date instead of relying on terms like "Net 30" on the invoice so there's no ambiguity.

Whatever you land on, enter it directly in the notes and payment terms field when you generate the invoice. "Net 30" without a due date attached still leaves room for a client to argue about when the clock started.

Common invoice mistakes that delay payment

A surprising number of late payments trace back to the invoice itself instead of the client.

Common issues include:

  • Missing or unclear due dates
  • Vague line-item descriptions
  • Inconsistent invoice numbers
  • Missing billing or contact information
  • Unclear payment instructions
  • Incorrect totals or tax treatment

Even if your payment term is "due on receipt," including a specific due date can make the deadline easier for the client's AP team to process.

A clean, itemized invoice with a specific due date and a clear total removes the excuses a client has to sit on payment.

The generator above helps with two of these automatically. It won't let you continue without at least one described line item, and the due date field is right next to the issue date, so you're not filling it in from memory.

Getting paid on time starts with a clean invoice including clear terms, an accurate total, and no ambiguity about when the clock starts. Once the invoice is out, the harder part is usually what happens next: tracking who's paid, chasing what's outstanding, and reconciling it all against your books.

Creating the invoice is only one part of the finance workflow. Once a business starts handling more payments, expenses, and reconciliation, keeping transaction records organized becomes increasingly important. That's what Aspire handles once the money starts moving from tracking spend, reconciling transactions, and giving you real-time visibility into where things stand.

Yes. US businesses generally do not need special invoicing software to create an invoice. You can create your own invoice or use a generator, but the information needed can vary by transaction, industry, tax requirements and customer agreement. Keep invoices and related records as part of your business recordkeeping.

Yes. The currency dropdown supports multiple currencies, including USD, SGD, EUR, GBP, AUD, HKD, INR, and IDR, so you can bill clients in their local currency without doing the conversion yourself. Tax labeling adjusts for certain currencies. Selecting SGD, for example, switches the tax field to "GST". So the terminology on your invoice matches what your client expects to see.

An invoice is the formal document a business sends to request payment, typically with itemized charges and payment terms. "Bill" is often used informally to mean the same thing, though it's more commonly associated with the amount owed rather than the document itself.
